Spring Cleaning For Office Professionals

I thought I’d keep this bonus blog on the lighter side.  With the onset of spring, now would be a good time to do a little cleanup.  Here are a few ideas.

Spruce up your work area with fresh flowers

Purge files; clean up computer files

Rearrange furniture

Inform your team of new concepts

Negotiate your workload

Gather information on new office products

Cluster similar tasks and office supplies

Lose unproductive habits

Engage in an attitude renewal

Analyze current workflow

Neaten your work area and department

Identify barriers to increased productivity

Never give up on good ideas

Gradually organize and straighten all cabinets, drawers, and credenzas.

Bonus: Something to think about. At Office Dynamics, we have a white board in a central area where any one of our ODI staff members can post a self-fulfilling prophecy or mindset for the day that we all want to embrace. For example, we might have Magnificent Monday, Thankful Thursday, etc.

Sometimes we select a monthly theme. Our April theme is Awesome April. It’s amazing how what we prophesize positively comes into our lives. You might want to do a similar activity for April for yourself, your department, admin team, or organization.

  1. YES! My SAA and I have FINALLY set aside some designated time to get rid of some old, unused files on our shared drive. Since we’ve been here (about 3-ish years each), there are several documents on the drive that we are certain haven’t been touched or used in many years. Now that certain processes have been updated or are no longer in use, esp since some of the staff who created them are no longer with us, it will be great to finally purge these files and only have what’s current. It can be frustrating to see different copies of the same form floating around.

  2. This is an amazing article, and has come at the right time. The company I am with is moving to a new location, and we are in the process of “Spring Cleaning” the entire building. We have divided up our moving team into smaller groups and assigned each group a specific task. Going through all our files and folders purging and organizing. I love it!!! Thanks

    Our year end is March 31, so April is a good month for cleaning out the old and setting up the new. I like to take a few hours to see what worked well the previous year and keep it. I also look at what did not work well and think about how I can change that.

  5. I am printing this out as a reminder to what to “SPRING CLEAN” at my office. And, I especially like the white board with weekly/monthly positive affirmations. This is something I am going to try to do as well. We spend so much of our time at the office or working, why not have it be a positive place to be!

  6. I recently negotiated my workload and I have felt so much better since. I can actually take care of the never-ending to do list rather than drowning in it now.

  7. I too love this time of year! I have quite a few office projects going on right now and because vacation time picks up about this time of year, I’ve plenty of lull time to make changes. Keeping a tidy office does wonders for morale too.

    Thank you, Joan. I just bought some really pretty file folders and hanging folders for my desk. I’ve always believed it’s important to make your work area nice, especially for yourself. 🙂

    I also don’t mind cleaning my work area. The nightly cleaning crew can only do so much. So, I on occasion clean the work areas of my two bosses, too. I actually enjoy it.

    1. Hi, Linda, I too LOVE pretty folders and office supplies at work. One of the best gifts I received from an attorney I support was a pack of beautiful folders. I agree, why not have your work space a nice place to be.

  9. Funny, you should mention spring cleaning at the same time I’ve begun cleaning up my collection of business cards. I only wish I could do more “cleaning” but somethings must stay the same where I work. 🙂

  11. I just reorganized my desk and feel so much better everyday when I come to the office. I sit up straighter and feel I am more focused and organized. I also am working on my boss’ office as he has clutter everywhere and is always searching for documents not knowing which pile to look in first. Spring cleaning makes me feel reenergized.

    We’re transitioning to paperless in our office, so we’re pretty excited about scanning paperwork and not having to keep it on file very soon-we take care of 5 different companies and 4 of them are paperless already. Soon, there will be more time and room for fun, inventive things, and we’re starting to plan as we do our “spring cleaning”.

  15. I always get excited for spring cleaning. I am one of those people that love to organize and get excited to have an organized workspace. Things have finally died down a little bit after some downsizing due to budget cuts. I look forward to getting back on track and getting a system that works with all the new added responsibilities that I have had to take on.

  18. I love this list……and I believe that the appearance of our desk space and work area says a lot about us! If we have things straight, organized and the things we most often need within reach everyday, we are more apt to be organized in other areas of our life and vice versa. Working as an admin professional for an executive is an important job and an honor for me so I try to have everything organized and looking nice so that it is a reflection of the job that I do for him everyday. My productivity increases and I know that my time management skills improve if I am spending more time supporting him rather than looking for some item, agenda, form, etc. that should have been at my fingertips to begin with 🙂 .
